Stopping SharePoint sprawl before it becomes unmanageable

Sprawl is rarely caused by users creating too many sites. It is caused by nothing ever ending. Sites are created for a project, the project finishes, and the site remains indefinitely, with its permissions, its content and its search results intact.

Control creation without blocking it

Blocking self-service creation moves the problem into a ticket queue and encourages workarounds. A better pattern is a provisioning process that grants the request while capturing what governance needs: purpose, owner, sensitivity, expected lifespan and a review date.

Lifecycle is the actual fix

1. Expiry policies requiring owners to attest that a workspace is still needed.
2. Automatic archival of workspaces whose owners do not respond, with a defined recovery window.
3. Ownership attestation on a schedule, and an escalation path for orphaned workspaces.
4. Retention labels applied by template, so disposal follows policy rather than individual decisions.

Search quality is the visible payoff

Users experience governance indirectly: search either returns the current document or it does not. Retiring superseded content, applying consistent metadata and promoting authoritative sources improves search noticeably, and the same work is what makes the estate suitable for grounding AI assistants.
